Administrative & Operations Executive

We are looking for a detail-oriented, proactive Administrative & Operations Executive to handle a mix of data entry, client support, and daily operational tasks at Gigabit.

You will manage customer communication, maintain structured client records, support booking and project workflows, and help keep the office and internal operations running smoothly. The ideal candidate is organized, reliable, digitally savvy, and comfortable working with tools like Google Workspace and modern online systems.

Key Responsibilities

1. Customer Communication & Client Support

Handle incoming customer queries across email and messaging platforms.
Respond to clients using predefined email sequences and maintain a professional tone.
Ensure timely follow-ups and maintain clear communication logs.
Prepare and send booking confirmation emails and service-related updates.

2. Data Management & Organization

Create and maintain client folders in Google Drive with proper naming and folder structure.
Upload and organize client images, documents, and assets into the correct locations.
Set up and update client portals with required details, documents, and status updates.
Create simple project pipelines (e.g., in Sheets/Notion) and follow up task completion until project closure.

3. Administrative & Operations Support

Assist with general office administration and day-to-day support tasks.
Help maintain internal trackers (attendance, bookings, project lists, etc.) using Google Sheets or similar tools.
Coordinate with team members for information collection, documentation, and task status updates.
Support HR/Accounts with basic documentation collection (bills, receipts, forms) as needed.

4. Digital Tools & AI-Assisted Workflow

Use Google Workspace (Drive, Docs, Sheets, Gmail, Calendar) for daily tasks.
Use generative AI tools (e.g., ChatGPT) to draft emails, checklists, basic documents, summaries, and SOPs more efficiently.
Help document processes, FAQs, and templates so that future work is faster and more structured.

Requirements

Experience in data entry, admin support, customer support, or a related role is preferred.
Excellent written communication skills in English (Bengali communication is a plus).
Strong organizational and time-management abilities.
Familiarity with Google Workspace (Drive, Docs, Sheets, Gmail).
Ability to follow instructions, handle repetitive tasks with accuracy, and meet deadlines.
High attention to detail, reliability, and a positive, service-minded attitude.

Nice to Have (Bonus)

Prior experience in a tech company, agency, or startup.
Basic understanding of tools like Slack, Notion, or ClickUp.
Interest in using AI tools to improve personal productivity and workflow.
